Course Cancellations and Booking Transfers Policy

Our comprehensive cancellation and course transfer policy is set out in 3 stages, and applies to both private delegate and corporate client bookings:

Stage 1: 30 days or more before course start date**

If you call* to cancel your course more than 30 days before your course is due to start we will provide you with:

  1. a full refund (minus a £50 administration fee).
  2. A transfer to an alternate date within 12 months of original booked date (no fee)

** ‘course start date’ refers to ORIGINAL booked course date

Stage 2: More than 14 days but less than 30 days before course start date

If you call* to cancel your course more than 14 days (and less than 30 days) before your course start date we can provide you with:

  1. a course transfer to a later date within 12 months with a credit of 75% of the original course fee against the new confirmed date
  2. transferrable credit of 50% of the original course fee for personal use only for use within 12 months from originally booked course date

Stage 3: 14 days or less before course start date

If you call* to cancel your course 14 days or less before the course start date no refund can be provided, and all course fees paid will be forfeit.

 

*All cancellations requests must be submitted or formalised in writing and by email.

 

Cancellation or course date amendment by SWMA:

In the event of a major crisis or natural disaster or similar event outside of the control of South West Maritime Academy interrupting business, or a forced closure for the same reasons enforced by, or created as a result of, UK Government restriction, or forced by extension of the same, no refunds will be offered but South West Maritime Academy will extend the offer of deferral of bookings to future dates once the crisis or closure and/or restrictions are lifted and training can re-commence.

If SWMA has to cancel or reschedule a course due to adverse weather conditions, staff illness or other circumstances outside of the control of the business then a new date will be offered to all those affected. 

South West Maritime Academy is not responsible for any other costs incurred as a result of the cancellation i.e: transport and accommodation

 

Bespoke Training or facility hire:

All bespoke training is subject to a 3 month minimum cancellation term due to the complexities of setting up resources, staffing and space for said courses.

 

Payment for Bookings

 

Telephone Bookings: When calling us to make a booking we can offer you 3 options:

  1. Payment in full for the course you are booking
  2. A deposit* of 50% of the course fees for your booking, with the balance due no less than 2 weeks before course start date
  3. A deposit* of less than 50% of the course fees with the balance to be paid in agreed instalments, the last of which to be received no less than 2 weeks before course start date.

* deposits subject to the same refund and cancellations terms as above.

Website Bookings: All website bookings require up front payment in full for the course(s) you are booking.

 

Commercial Bookings (without account): Commercial bookings made via phone or email require payment in full for the course(s) on the day of booking to secure course spaces. If you would like an account for future bookings then please request this by emailing accounts@southwestmaritimeacademy.com.

 

Commercial Bookings (with account): All bookings made on account by our commercial clients will be payable on a 30 day term following completion of each course booked as per invoices sent.

South West Maritime Academy comply with the General Date Protection Regulation (GDPR) 2018 with all data handled and proceeded by South West Maritime Academy  outside of the provisions as set out below by our authorising bodies, whose requests for data collection and handling fall under and are carried our within the confines of their own Date Protection policies.
